How to Run a Phone-Free Event: The Checklist, the Staffing and the Emergency Plan

Most phone-free events fail for boring reasons. Not because guests rebelled, but because nobody worked out where the unlocking bases went, or how many people were on the door, or what to tell the parent who asks how their babysitter is supposed to reach them. The policy was fine. The logistics were an afterthought.

Start with the honest answer to the question everyone asks first: no, our lockable phone pouches do not block signal. Not cellular, not Wi-Fi, not Bluetooth. The phone inside stays on the network and still rings, buzzes and receives emergency alerts. What the pouch blocks is physical access to the screen and both cameras. Anyone who tells you their pouch blocks signal is selling you a different product, and one that brings a duty-of-care question you did not previously have.

For staffing, plan on a minimum of two designated pouch staff per 100 attendees, and remember that wide doors want parallel stations rather than one longer queue. Unlocking bases go at every exit, at a designated phone zone just outside the main room, and at the customer service or box office desk. Tell your guests before the day, not at the door: put it in the confirmation email, put it on a sign at entry, and have your staff say it out loud.

The rest is timing. Before the Internet recommends placing orders two to four weeks out, with six weeks for events over a thousand attendees or anything with custom branded pouches, because the sponsor panel has to be printed. Self-service rentals start at 50 pouches, so a private dinner is as workable as a stadium.
